Before florals. Before dresses. Before color palettes and Pinterest boards.

Your venue choice is the decision that sets the tone for everything else.

And yet, this is where couples are most likely to fall in love too fast and ask questions too late.

Let’s slow it down and do this the smart way. Trust me, It will save you money in the long run. I’ve experienced couples having to change their venue last minute due to the venue not allowing them to have their dream wedding. They lost their deposit. Had to find different vendors last second and spent way more than their budget.

Step One: Narrow the Field Before You Tour Anything

Venue shopping gets overwhelming when you skip the basics. So before you book tours, you need clarity in four non-negotiable areas.

1. Guest Count (Reality, Not Wishful Thinking)

Your venue must comfortably hold your estimated guest count. Not the hopeful number and not the “we’ll just squeeze.”

Be sure to sit down with your partner BEFORE you dive into finding vendors and make a list of guests you want at your wedding.

Don’t forget: If a venue only works if people decline, it’s not the right fit. Once you invite your guests, there is no take backsies.

2. Budget Alignment (Including the Hidden Costs)

A venue can look affordable and quietly become expensive once you factor in:

  • Rentals

  • Staffing

  • Required vendors

  • Extended hours

So know what potential other costs may be included in your venue rental costs before signing a contract.

3. Style Compatibility (Don’t Fight the Space)

Venues have personalities. Some are romantic. Some are industrial. Some are blank slates.

Choose a space that already feels close to your vision so you’re enhancing the design, not forcing it.

And if you’re unsure of your style? That’s okay. Start with this instead:

Do you want:

  • Everything indoors

  • Everything outdoors

  • Or a mix (outdoor ceremony + indoor reception)

This single decision narrows your options dramatically and saves hours of scrolling and touring.

4. Ceremony Location: Together or Separate?

Another clarity checkpoint:

  • Do you want to get married in a church?

  • Or have the ceremony and reception at the same venue?

  • Are you okay with guests driving between locations?

There’s no “right” answer, but there is a right answer for your priorities, your guests, and your timeline.

Step Two: Ask the Questions That Protect Your Wedding Day

Once a venue passes the basics, this is where couples need to shift from dreamy to strategic.

These questions aren’t about being difficult. They’re about avoiding stress, delays, and awkward surprises later, and trust me: venues love when you come prepared with questions.

Here are the categories you must cover when talking to venues:

Logistics & Flow

You need to know:

  • Maximum capacity

  • Location of ceremony, cocktail hour, and reception

  • Getting-ready areas

  • Setup and breakdown timing

  • Vendor load-in access

Flow matters more than aesthetics on the wedding day.

Weather, Sound, and Time Restrictions

Especially important for outdoor or mixed spaces:

  • Backup plans for bad weather

  • Noise ordinances and curfews

  • Sound restrictions

  • Overtime fees

A gorgeous outdoor ceremony means nothing if you’re scrambling when the weather shifts or your guests are getting soaked.

What’s Included (and What’s Not)

Never assume. Ask exactly what comes with the rental:

  • Tables, chairs, linens

  • Lighting and AV

  • Decor permissions (candles, hanging installs, sparklers, etc.)

What’s included affects your rental budget and your design plan.

Vendor Rules & Requirements

Venues often have opinions here:

  • Required or preferred vendors

  • Off-list vendor rules

  • Insurance and licensing requirements

  • Kitchen or prep space access for caterers

  • Alcohol policies (BYO vs bar service)

  • Pet policies, if your fur baby is a must have - be sure that your venue allows them

These rules can impact cost, creativity, and vendor availability.

Guest & Vendor Experience

Details couples often forget to ask:

  • Parking and transportation

  • ADA accessibility

  • Cell service and WiFi

  • Nearby hotels or room block options

  • Closest church (if applicable)

Your guests feel these details, even if they can’t name them.

Staffing, Coordination, and Contracts

Clarify:

  • Is a venue coordinator included?

  • What is their role (and what isn’t)?

  • Who is your day-of contact?

  • Payment structure

  • Cancellation and insurance policies

This protects you if plans shift. Which they sometimes do.

Use a Worksheet. Seriously.

We created a Venue Questions Worksheet because no one remembers all of this during a tour.

Having the right questions in front of you:

  • Keeps tours efficient

  • Helps you compare venues fairly

  • Prevents expensive surprises later

  • Makes you sound confident and prepared (because you are)

You can download and bring our full list of venue questions with you to every tour.
